General Equipment Training Procedure
1. Confirm Authorized Trainers
Only designated personnel are permitted to train users on shared research equipment.

Each instrument has assigned, approved trainers.

Trainees must only receive instruction from the individuals listed as trainers for that specific device.

If the assigned trainer is unavailable, training cannot be performed by unauthorized staff.
2. Create or Access an iLab Account
All trainees must have an active iLab (Agilent) scheduling account.

Log in using WesternU credentials.
-
If the trainee does not have an account, assist them with new user registration.
-
Ensure they are associated with the appropriate lab group in iLab, if required.
3. Locate the Instrument in iLab
Once logged in:

Navigate to the Shared Instrumentation Core or relevant core listing.

Select the instrument for which training is needed.
-
Trainees will initially see Training Calendar Access Only for that instrument (if training is available).
4. Schedule the Training Session
If the instrument has a training calendar:

The trainee selects an open slot on the Training Calendar.
-
They submit the reservation.
-
In the Notes field, the trainee must enter:
“Trainer: [Name of Authorized Trainer]”

The assigned trainer should confirm the reservation.
5. Complete the Training
During the scheduled session:

The authorized trainer conducts hands-on instruction.
-
The trainee must demonstrate understanding of safety, proper use, and required procedures.
6. Training Attestation Form
At the end of training:

Trainer and trainee must sign and date the official Training Attestation Form.

The completed form is submitted to the Office of Institutional Core Facilities for documentation.

Once processed, the trainee receives full iLab access to reserve the instrument.
7. If There Is No Training Calendar
If an instrument does not have a training calendar listed in iLab:

Training is not currently available for that device.
-
The instrument may only be operated by already trained and approved users.

However, if you require output from that instrument (e.g., a readout, image set, or data file),
a trained individual will generate the data on your behalf and then share it with you via:

8. Post-Training Expectations
Trainees must:

Follow all SOPs associated with the instrument

Reserve the equipment in iLab prior to use

Report any malfunctions directly to the Office of Institutional Core Facilities

Maintain professionalism in accordance with WesternU workplace conduct standards
